Board Recommendation to Move the Annual Elections from April 2, Wednesday, to April 1, Tuesday

Dear Members:

The Club’s annual Elections for the Board are scheduled at this moment for April 2, Wednesday, as required in the By-Laws, Article XVIII, Section 1.  It states in part, “ The annual meeting of this Association shall be held the first Wednesday in April of each year…..”

Section 1 further states, “… regular meetings shall be held quarterly on the first Wednesday in July, October, and January…..”  Please note that April is included as the annual meeting for Board elections.

Your current Board of Directors interprets the above to mean that only four meetings of the Board are required per year. However, this current Board as well as recent previous Boards have been holding meetings each month for several years. Therefore, all these Boards have been exceeding the apparent  requirement of the By-Laws for four meetings per year.

Mid-last year, your current Board shifted its monthly meetings from Wednesday to Tuesday when the Club was routinely open to shoot, in order to make these meetings more convenient to members, thus attracting greater attendance and participation. Given the April Elections plus the Board’s desire to maximize voting, this Board suggests that these Elections for 2014 be shifted from April 2, Wednesday, to April 1, Tuesday, at 7:00 pm. All other normal election proceedings will continue without change.

The Board asks all Club members to consider this recommendation, and to comment by email to the Secretary or verbally to any member of the Board. To repeat, the objective is to make this process as convenient as possible to the largest number of members. Since the Board hosts its regular, open meetings on the first Tuesday of each month, the Board believes it is appropriate to host these annual Elections on Tuesday, April 1, as well.

Members are asked to comment by midnight on March 16, Sunday.  The Board will assume that if there is no significant objection, the majority of the members accept this proposal to move these Elections from Wednesday, the 2nd,  to Tuesday, the 1st

Members are also reminded that the Club has family memberships. Thus all the shooters in your family are eligible to vote. The West Chester Gun Club is run for and by members, so we all have a responsibility and an opportunity to be involved.

Concerning the candidates for 2014, there are several existing members of the Board who will run again plus additional members. All names will be announced in March when their interest and commitment have stabilized. Please note that the cut-off date for nominations to run for the Board is March 23, Sunday, by midnight. This was confirmed at the Board meeting of Feb. 11.

By the way, Article XII, Section 4 of the By-Laws states in part, “….Members…  become eligible….. to hold office one year after their membership is approved by the Board.”
